Implementation

Since Verismo HR is scalable with modules and functions, we set up an implementation plan, schedule and plan the resources needed for each part.

This means that we do not have to implement everything at the same time and instead provide the right conditions for your resources, change management and internal communication.

The implementation process itself looks the same for both modules, processes and functions, it is the scope that varies.

Workshop

The implementation begins with workshop(s) where we go through the standard processes and settings that are relevant at the moment.

We start from the standard best practice where you get the opportunity to adapt and configure so the system suits your business.

Solution proposal

When the workshop is completed, Verismo project manager summarizes all material, discussions and decisions linked to the delivery in a solution proposal.

The proposed solution includes, among other things, which existing master data is to be imported into Verismo, process descriptions, flow charts, access right settings at field level, notification recipients and more.

Any requests for configuration that have arisen during the workshop in connection with new needs or requirements are also included in the solution proposal.

Approval

The solution proposal is sent to you to ensure that we have understood all your needs and wishes regarding the delivery.

Throughout the implementation, we have continuous dialogues and meetings for questions and other discussion points that may arise during the process.

Once you have approved the solution proposal, we start building and configurate the system according to the documents.

Configuration

When the solution proposal is approved, the configuration process starts.

The configuration process means that our developers set up the system according to the solution proposal with the settings and configurations you have ordered. During this period, master data with the organization and employee data is also imported using files from you.

The data results organizational structures, report paths, permissions, but also addresses, employment history, relatives, phone numbers and other data you want to import.

Training

As part of the implementation, training opportunities are included before each delivery.

The training is carried out in connection with the configuration and import of master data being completed and you get access to the system. During the training we go through, for example, the system’s structure, administration, user account, structures, processes and functions.

When activate the system, the training includes a more thorough review and if it is about implementation of new features, we go through the current new parts.

Launch

After the training, you have the opportunity to test all functions and processes, create templates, drop-down options, customize email content and other things that are related to each module you have chosen to implement. You can create employment contracts, uploading a personnel handbook, onboarding and exit surveys, managing types of absence or uploading courses.

When you are ready, you invite the employees via the system with a welcome message, username and password and you are ready to start your new digital HR work!

When the launch is complete, we start again with the next module, feature or process until we are finished with the delivery of all parts you ordered. Throughout the implementation, we also have meetings with IT and possible suppliers regarding the current integrations.

Example of configuration:

  • Hide fields for different access right groups
  • Remove steps in processes
  • Change the order of steps in processes
  • Texts in notifications / reminders / emails

Examples of customizations:

  • Should an onboarding process be started automatically when the hiring process is complete?
  • Who should receive an email when an employee quits?
  • Who has the access to start the hiring process?
  • Should the 2nd level manager approve a compensation change?
